REGISTRATION/CHECK-IN

How do I register?

• You can register online by using a credit or debit card. We no longer take deposits, or accept registration through the mail so the cost of camp is due in full at the time of online registration.

When is the last day to pre-register for summer camps?

• Pre-registration closes exactly a five days prior to the start of a resident camp, unless it falls on a Sunday and, therefore, it will remain open until noon on the Monday prior to the start. Registration remains open for all day camps until the first day of the camp as long as we are not at capacity. You can always check online to see if a camp is still accepting registrations or if it is "Closed."

What is required for summer camps registration?

• Full payment and completed registration form initially, along with proof of health insurance, immunization records, and a physical within one calendar year submitted to the online camper portal prior to the start date of the camp.

What is required for check in on the first day of a summer camp?

• Each camper is required to complete the health paperwork, including immunization records, a copy of proof of health insurance and a physical within one calendar year (or proof of a physical, such as a doctor's script with doctor's signature on it, including date of physical). After completing registration please log back into your account to upload your Camp Health Checklist under your Incomplete Tasks on your Account Dashboard. 

Will I receive a camp confirmation?

• Yes! You will receive an e-mail confirmation within a week of us receiving your application and payment in the mail or immediately if you register online. This e-mail or online receipt will confirm the camper's enrollment in the camp along with the medical paperwork and a list of what to bring. If an e-mail address is not provided, we will mail the information.

Will I receive a camp itinerary?

• We will e-mail out a camp itinerary including check-in location, directions and times on the Monday a week prior to the start of camp. The itinerary will also include a list of what to bring, pick up times, and a reminder about the mandatory health paperwork.

What if my camper must arrive late?

• After completing the registration process please contact the summer camps director for help arranging a late arrival. Typically with the help of the camp staff we can accommodate your late arrival and give you a counselor's contact phone number to use upon arrival. They will meet you at the dorm for you to pick up your room key, get settled in your room and meet up with the rest of the camp.

HEALTH PAPERWORK/MEDICAL QUESTIONS

I can't find the medical paperwork for download anywhere on the website. How can I access it?

• All medical paperwork and information (proof of health insurance, proof of physical exam, immunization record, prescriptions, injury information, etc.) must be submitted through our online camper portal, CampDocs. A CampDocs representative will reach out to you via email with a link to register within one week of registration. Any questions specific to uploading or submitting medical paperwork can be directed to the CampDocs support team at support@campdoc.com or 734-619-8300.

Should I mail in my medical paperwork?

• Please DO NOT mail in your medical paperwork prior to the start of camp. We are only accepting medical paperwork via our online camper portal CampDocs.

What if our doctor won't give out a copy of my son/daughter's physical or I can't get a copy in time for camp?

• A signed prescription form will suffice for proof of your physical if you cannot get an actual copy. You can also contact your child's school for a copy of his or her most updated physical and/or updated immunization records.

What is the presence of trainers/medical staff at the camp?

• There will be a certified EMT (camp Health Director) on site during all instruction, practices, and games. Some camps will have 1-3 certified athletic trainers on staff in addition to an EMT. Should the need arise, there will also be access to the athletic training room, campus health center, and local hospitals. With this in mind, please thoroughly and accurately complete the Camper's Health Form section of the application so the camp staff have important medical information on hand.

Can the camp staff hold a camper's medication?

• Camper's medications will be held by the Camp Health Director. At the onset of camp, medications will be turned over to the health director whose responsibility at that point is to administer all medications at the appropriate time based on the prescription throughout the duration of camp.

What if my camper is injured during camp?

• In case of an emergency, the University will contact the parent immediately. If the parent/guardian cannot be reached, the University has authorization for emergency medical care granted from the Camper's Health Form. If the medical staff determines that a camper is unable to participate in activities, parents/guardians must make arrangements to have their camper return home.

HOUSING

How many can stay in a room for overnight campers?

• By New York State fire code laws we are only allowed two people per room and there is no way around this.

Can campers request their roommate?

• Resident campers stay in one of the assigned SUNY Cortland residence halls. A roommate request can be made on the camper's registration form. Please keep in mind that we do our best to meet all roommate requests. However, due to accommodation limitations we cannot always meet every request, and we will be under no obligation to honor requests received less than seven days prior to the start of camp.
• If no preference is indicated, the camp staff will assign a roommate similar in age. Roommates must request each other in order to be placed together.

What is the supervision during camp?

• Counselors/Coaches will be staying in the residence halls along with the campers. Depending on the camp a 10:30 p.m. or 11:00 p.m. lights-out is strictly enforced each night when room-check is conducted. The camp staff will also take a roll call several times throughout the day, in addition to walking the campers to all locations across campus. We are always at least at a 1-to-10 staff-to-camper ratio, or 1-to-8 staff-to-camper ratio for camps with campers under the age of 8 years old.

What if my camper needs to leave camp early?

• We prefer that campers not leave campus during their camp experience. Should a camper have to leave the camp for any reason, a parent and/or legal guardian must notify the camp director to complete a consent form.

Does my camper need additional money during camp?

• Some sports provide a camp store for campers who desire additional snacks and drinks. Pizza orders will also be taken for pizzas delivered after the evening session. Merchandise may also be available at the camp store.

What items should my camper bring for the dorm?

• All resident campers will need to bring their own bed linens (extra long twin sheets), blankets, pillow, towels, and toiletry items. It is also suggested to bring sunscreen, fan and mosquito repellent.

Are residence halls air-conditioned?

• All the residence halls where summer camps will be staying are NOT air-conditioned. We strongly suggest that campers bring small portable fans for their rooms.

COST/REFUNDS

In the past you offered a $50 deposit option, but I don't see that anywhere. Does it still exist?

• We no longer can offer the deposit option with our new online registration system. We apologize for the inconvenience. Please call with any personal concerns.

Can we have a discounted rate because we will not be able to attend the entire length of the camp?

• No, we do not offer pro-rated or discounted rates for campers.

What is your cancellation and refund policy?

• We will no longer be accepting deposits for summer camps. Payment in full will be due at the time of registration. You may register by paying online using a credit or debit card. All payments, except for a $20 processing fee, will be refundable up to 14 days prior to the start of camp. After that date, if you need to cancel, you will forfeit 30% of your payment until the start date of camp. There will be no refunds once camp has begun.

Do you offer a family discount?

• We offer a family discount to parents sending multiple children to the same camp, the same child to multiple sport camps or different children to different camps. We simply ask that you contact the camp director for more information on how to get the discount applied to your camp tuition. The discount is $20 off for each child for each camp. We will not be able to reimburse parents after the attendance of camps, so please plan ahead.

FOOD/DINING

Where do campers eat during camp?

• Campers will eat in Neubig Hall on the campus of SUNY Cortland. They offer a variety of menu items in a buffet style with unlimited helpings. Campers will also eat in the "Dragon's Court" located in Corey Union with similar dining options that are offered in Neubig Hall.

Do you offer special dietary options if needed?

• Yes, but please contact us ahead of time so we can inform dining services if it is beyond normal dietary expectations. Lactose intolerance is easily handled.
